These Terms & Conditions apply to accommodation, dinner, entertainment and other packages and tickets purchased for the New Year's Eve event organised by Need A Place To Go (“NAPTG”, “we”, “us” or “our”).
By making a booking, paying a deposit or purchasing a ticket, you confirm that you have read and accepted these Terms & Conditions.
These Terms & Conditions should be read together with any applicable NAPTG Purchase, Deposit & Cancellation Policy and any specific terms provided for the Event or participating hotel.
All offers, accommodation, packages and tickets are subject to availability.
Prices and package inclusions are those applicable at the time the booking is confirmed.
Accommodation and package reservations should be made by email or through the booking method specified by NAPTG.
A reservation is not considered fully confirmed until NAPTG has received the required written confirmation and applicable deposit or full payment.
Verbal enquiries or verbal bookings will normally be treated as provisional only.
A provisional reservation may be held for a maximum of 7 days, unless NAPTG agrees otherwise in writing.
If the required written confirmation and payment are not received within the applicable period, NAPTG reserves the right to release the reservation without further notice.
Deposits and/or pre-payment are required for accommodation and dinner packages for the New Year's Eve Ball.
For an Accommodation Package, a non-refundable deposit of £50 per person is required when the bedroom reservation is made, unless a different deposit amount is expressly stated at the time of booking.
The deposit secures the booking and enables NAPTG to make advance commitments to the participating hotel, Venue and other Event suppliers.
Unless otherwise agreed in writing, the remaining balance for Packages 1 and 2 must be paid in full by 4 December of the relevant Event year.
Customers are responsible for ensuring that payment is made by the applicable deadline.
Where a ticket or package is purchased after 2 December, full payment will normally be required at the time of booking.
NAPTG reserves the right to require immediate full payment for any booking made close to the Event date.
Dance-only tickets must be paid for in full at the time of purchase.
Any charges incurred by guests during their hotel stay that are not included within the NAPTG package must be settled directly with the hotel before departure.
The hotel may require at least one valid credit or debit card per party at check-in as security for additional charges, subject to the hotel's own terms.
NAPTG is not responsible for additional hotel charges incurred by guests.
The exact inclusions of each package will be stated at the time of booking.
Where Package Two includes the same New Year's Eve services as Package One, together with additional accommodation, breakfast or other services, only those items expressly identified as included in the package will be provided.
Unless expressly stated as included in the package, NAPTG is under no obligation to provide food, beverages, entertainment, accommodation or other services outside the stated package inclusions.
Deposits are an essential part of organising hospitality Events.
When arranging the New Year's Eve Event, NAPTG may be required to make advance financial commitments, including:
(a) reserving and securing your hotel room using the name provided at the time of booking;
(b) securing dinner spaces and confirming numbers with the hotel and catering providers so that appropriate quantities of food, staffing and other services can be arranged in advance; and
(c) making advance payments to the hotel and other suppliers, often several weeks before guests arrive.
These commitments are made based on the bookings received and may be non-refundable to NAPTG.
For this reason, deposits paid to NAPTG are non-refundable, except where a refund is required by applicable law or expressly provided for under these Terms & Conditions.
A customer's change of circumstances, illness, inability to travel, change of mind or decision not to attend does not, by itself, entitle the customer to a refund of their deposit.
Customer deposits are non-refundable, subject to applicable statutory rights.
If a Package 1 or Package 2 booking has not been paid in full by the applicable balance-payment deadline, NAPTG may treat the booking as cancelled.
Where a booking is cancelled because the required balance has not been paid by the deadline, NAPTG may retain all amounts already paid, subject to any rights the customer may have under applicable law.
The accommodation and other Event arrangements may then be released and offered to another customer.
Once a booking has been paid in full, the booking is considered final.
No refund will normally be provided where a customer subsequently:
cancels;
reduces the number of guests;
decides not to attend;
arrives late;
fails to arrive;
is unable to travel;
becomes ill;
experiences personal or family circumstances; or
otherwise chooses not to use the booking.
This applies unless a refund is expressly provided for under these Terms & Conditions or required by applicable law.
Amounts paid for guests who do not arrive are forfeited and cannot be transferred to:
another member of the party;
another room;
another night;
another Event; or
a future booking,
unless NAPTG expressly agrees otherwise in writing.
NAPTG reserves the right, where reasonably necessary, to alter, amend, postpone or cancel an Event.
This may occur, for example, where there is an insufficient number of bookings to operate the Event, the Venue becomes unavailable, circumstances arise beyond NAPTG's reasonable control, or an Event cannot lawfully or safely proceed.
Where NAPTG cancels an Event altogether, NAPTG will communicate the available arrangements to affected customers.
Where a full refund is offered or required, the refund will normally relate to amounts paid directly to NAPTG for the affected booking.
NAPTG will not normally be responsible for additional losses or expenses incurred by customers, including travel, accommodation booked independently, transport, parking or other personal arrangements, except where liability cannot lawfully be excluded.
NAPTG reserves the right to make reasonable changes to the contents of an Event or package where necessary.
This may include changes to:
entertainment;
performers;
programme;
menus;
food selections;
room arrangements;
timings;
Event facilities; or
other operational details.
Menu descriptions are provided as an indication of the dishes likely to be served.
NAPTG and/or the hotel reserves the right to substitute dishes with suitable alternatives where reasonably necessary, including because of availability, supply issues, dietary requirements, operational reasons or circumstances beyond reasonable control.
Minor changes will not normally entitle customers to a refund.
Where a change amounts to a material change to the Event, NAPTG will deal with the situation in accordance with applicable law and the relevant Event terms.
NAPTG reserves the right to amend package prices before a booking is confirmed.
Once a booking has been confirmed, the price applicable to that booking will be the price agreed at the time of purchase, subject to any changes expressly permitted by the booking terms or applicable law.
Prices will include VAT where applicable.
For the purposes of NAPTG's New Year's Eve packages, guests aged 16 or over are classified as adults unless otherwise stated for a particular Event.
Children aged 2 to 15 attending the Dinner or Dance may be charged at 50% of the applicable adult price, unless otherwise stated at the time of booking.
Children under 3 attending the Dinner may be subject to a £10 cover charge, unless otherwise stated.
NAPTG reserves the right to request reasonable proof of age where required.
Parents and guardians are responsible for the supervision, behaviour and safety of children in their care at all times.
Children must not run, play or behave in a manner that creates a nuisance, disturbance or safety risk in communal areas.
An adult aged 18 or over must accompany children attending the Event or staying as part of the booking, unless the hotel or NAPTG has expressly agreed otherwise.
Guests registering for hotel accommodation must be at least 18 years old and may be required to provide valid identification at check-in.
The participating hotel may apply additional identification, age or security requirements.
Unless otherwise stated:
Check-in: 3:00pm
Check-out: 11:00am
The hotel may apply different check-in or check-out arrangements, which will take precedence where communicated to guests.
Unless otherwise stated:
a room for two people will generally contain either one double bed or two single beds;
a room booked for three people will generally contain one double bed and one single bed; and
parties requiring accommodation for four or more people may need to book additional rooms.
Room configurations are subject to availability and the participating hotel's room inventory.
An infant may only be accommodated in a room where the hotel permits the additional occupancy and an appropriate cot or portable crib is available.
Availability of cots is subject to the hotel's capacity and applicable safety requirements.
Guests staying at the participating hotel are also subject to the hotel's own terms, conditions, policies and house rules.
These may include requirements relating to:
check-in and identification;
security deposits;
payment cards;
room occupancy;
smoking;
noise;
damage;
prohibited items;
food and drink;
health and safety; and
other hotel facilities and services.
Where a hotel rule applies directly to the use of hotel facilities, guests must comply with that rule.
Food and beverages included within the NAPTG package will be those expressly stated in the relevant package description.
Food and drinks purchased separately by guests are subject to the hotel's policies.
Unless expressly authorised by the Venue or hotel:
food and drinks must not be brought from guest rooms into the Dinner, Dance or Party areas;
outside alcohol must not be consumed in Event areas; and
only drinks purchased through the authorised hotel bar or Event service may be consumed in the relevant Event areas.
Guests must follow all reasonable instructions from NAPTG and hotel staff concerning food, drink and alcohol.
Guests must comply with reasonable health and safety instructions issued by NAPTG, the hotel or authorised Event staff.
If food or drink is spilled in an area where it could create a hazard, guests should notify a member of hotel or Event staff immediately.
Guests must not engage in conduct that creates a danger, disturbance or unreasonable risk to themselves, other guests, staff or property.
NAPTG reserves the right to take reasonable steps to protect the health and safety of guests and staff.
Customers are responsible for damage caused by themselves or members of their party to:
hotel rooms;
hotel property;
Event facilities;
furniture;
equipment; or
other property belonging to NAPTG, the hotel or third parties.
Where a customer or member of their party causes damage, the relevant owner or operator may seek payment for the reasonable cost of repair or replacement.
This does not limit any rights or remedies available under applicable law.
Guests are responsible for their personal belongings.
NAPTG is not responsible for loss, theft or damage to personal belongings except where such liability arises from circumstances for which NAPTG is legally responsible.
Guests should use any safes or other security facilities provided by the hotel and should follow the hotel's instructions concerning valuable items.
The hotel may have separate terms relating to responsibility for guests' property.
Nothing in these Terms & Conditions excludes or limits liability where doing so would be unlawful.
This includes liability for:
death or personal injury caused by negligence;
fraud or fraudulent misrepresentation;
breach of statutory rights that cannot lawfully be excluded; or
any other liability that cannot legally be excluded or limited.
Subject to the above, NAPTG will not be responsible for indirect or consequential losses where such exclusion is permitted by law.
Where NAPTG is legally responsible for a loss arising directly from a booking, our liability will be limited to a reasonable amount having regard to the circumstances and, where legally permissible, the amount paid for the affected booking.
NAPTG will not be responsible for a failure or delay in performing an obligation where that failure or delay results from circumstances beyond our reasonable control.
This may include, without limitation:
extreme weather;
natural disasters;
fire;
flood;
war;
terrorism;
civil unrest;
industrial disputes;
government action;
restrictions imposed by public authorities;
serious transport disruption;
failure of essential utilities;
Venue closure;
serious illness or emergency affecting essential Event operations; or
other circumstances that could not reasonably have been prevented or overcome.
Where such circumstances affect an Event, NAPTG will take reasonable steps to communicate the position to customers and consider appropriate arrangements in accordance with applicable law.
All Events are subject to applicable licensing, health and safety and legal requirements.
NAPTG and the participating Venue may amend Event arrangements where reasonably necessary to comply with requirements imposed by licensing authorities, regulators, emergency services or other competent authorities.
Guests must comply with reasonable instructions given by authorised Event or Venue staff.
Published Event timings are provided for guidance and may be subject to reasonable change.
Guests should check their booking information and Event communications before attending.
A change to the start or finishing time alone will not automatically entitle a customer to a refund unless otherwise required by applicable law.
We want our customers to enjoy their New Year's Eve experience.
If you have a concern during the Event, please raise it with a member of NAPTG or hotel staff as soon as reasonably possible so that we have an opportunity to address it.
Where a complaint cannot be resolved during the Event, please submit it in writing to:

Where possible, complaints should be submitted within 7 days of the Event.
This deadline does not remove or restrict any statutory rights you may have.
Nothing in these Terms & Conditions is intended to exclude, restrict or remove any statutory rights you may have as a consumer.
Where any provision of these Terms & Conditions conflicts with a mandatory legal requirement, the applicable legal requirement will prevail.
NAPTG reserves the right to update or amend these Terms & Conditions where reasonably necessary.
The terms applicable to your booking will generally be those provided or made available at the time of booking, subject to any subsequent changes required by law or expressly permitted under the booking terms.
